Wholesale Universe, a 200-person Amazon store management firm, was onboarding clients by hand, reconciling invoices by hand and uploading product data by hand. We rebuilt all three across Make, Airtable, Close CRM and PandaDoc. They kept us on support afterwards.
What an AI automation consultant actually does
Most of it isn't AI. The bulk of the value is unglamorous: noticing that three people re-type the same data into three systems, and making that stop.
- We find the work. Every business has processes nobody designed. They accreted. We sit with your team, map what actually happens, and cost each step in hours per month.
- We decide what's worth automating. Not everything is. A task done twice a month by one person who enjoys it is a bad candidate. We tell you which ones to leave alone.
- We build it. Usually on Make, Airtable, n8n or your existing stack, rather than custom software you'd have to maintain forever.
- We use AI where it earns its place. Qualifying inbound leads, extracting data from unstructured documents, drafting responses a human approves. Where a rule works better than a model, we use the rule.
- We keep it running. Automations break when APIs change, plans get downgraded and staff leave. Most of the rescue work we do is on systems somebody built well and nobody maintained.

Questions we get asked
How long before we see anything working?
The audit takes a week. First working automation is usually live within two to three weeks of starting the build.
Will this disrupt how we work now?
We build alongside your existing process and switch over once it's proven. Nothing gets turned off on day one.
Do we need to be technical?
No. You need to know your own process. We handle the rest, and we train whoever will own it afterwards.
What happens if it breaks?
If you're on support, we fix it. If you're not, everything we build is documented and handed over so any competent developer can maintain it.
Is this just Zapier with extra steps?
Sometimes the right answer genuinely is a simple Zap, and we'll tell you. The work we get paid for is the cases where it isn't: multi-system logic, error handling, data that has to stay consistent across five places.
