Inclusive Therapy Group is a US mental health practice. Its team works from Pipedrive, and follow-up with prospective clients was being sent by hand. That caused delays and mistakes, and people slipped through because messages went out late.
What we set up
A Make scenario, triggered by a webhook from Pipedrive, now handles the follow-up. Leads and deals take different routes, so each person gets an email and SMS that fit where they are, and contacts on a blacklist are checked and skipped first. Lookups in Google Sheets pull in the details each message needs. Links are shortened with Bitly and every send is logged. Rate limiting stops a burst of updates from flooding the system or the recipients, and failed sends are logged instead of disappearing.
It gave the team back about four hours a day, and the practice reported more engagement from contacts and more of them converting.
